How We Work

eCollect has been in operation since 2002 and the philosophy is simple, “We collect your money as if it were ours”. This is not simply a motto. It is our mission and goes to the core of our operations. These words are spoken daily by our staff members and guide our decision-making. 

To collect your money as if it were ours, eCollect has built our own internet based software which allows us to communicate with clients and debtors in the most efficient manner possible.  Our software allows us to handle a high volume of transactions with minimum time spent. We reduce the time spent by our staff members in administration and increase the time spent in your collections. But high-quality software alone will not recover your money. eCollect retains the best people available and rewards them well based on the results they achieve for you. 

We do not run a call centre operation. Our clients have a dedicated eCollect Account Manager who will deal personally with your business. The eCollect Account Manager will be assisted by selected Collection Officers where necessary. The same people will be handling your account consistently. This allows them to become familiar with your business methods and customers which means better and faster decision-making and a higher level of recoveries. 

Our income is derived from the money we collect for you. We do not have upfront fees. If we do not collect, we do not get paid and if eCollect does not get paid, our staff members handling your matters do not get paid. So when we say ‘We collect your money as if it were ours’, we mean it.

Our Formula

We have quality, experienced people. They work in selected industry sectors so they know how that industry sector works. Your eCollect Account Manager will choose the best approach for each collection. They know that each debtor may require different action.

For larger clients, we can link directly to your database. Our clients can login and view our action in real time on the internet.

Our Operations

eCollect is based in Melbourne CBD where the bulk of our staff members work. We have offices in Sydney, Brisbane and Auckland. Each file is maintained electronically so that both our staff and clients can view what is occurring.

Effective collection of outstanding accounts starts with contacting the debtor at the earliest opportunity. The initial action by eCollect is usually a written request for payment designed to maintain the goodwill of our clients. Many people respond to this without further action being necessary. Following this initial contact, eCollect will follow up the debtor with telephone calls and further written demands. Each of these get stronger in their language as time progresses. 

Our associated legal firm, E C Legal can make demands as a part of the collection process with no additional cost to our client. We want to recover the debt at the earliest possible opportunity and our experienced staff members will be able to make judgments as to how the matters can best be resolved to maximise the return. Sometimes, a tough approach using the legal process is needed, but at other times, allowing a debtor to pay over time will provide the best results. The eCollect staff members will make this critical judgment on your behalf. 

Incoming funds are maintained in a statutory trust account. The eCollect software provides a collections report to our clients at the end of each months and the balance of funds after deduction of commission are paid to our clients (preferably by EFT) in the first week of the month following the collection. 

eCollect staff are trained to observe all legislative protocols including Privacy Act requirements and ACCC guidelines for Debt Collections. eCollect is certified to ISO9001 standards.

Each debt collection situation needs individual attention. We will review your situation and set up a pattern of collection action that allows the best chance of recovering your debt. Sometimes we will start by sending a written request for payment but other situations will be better served by an initial telephone call. It is important to maintain ongoing contact with the debtor. Rarely does the initial contact result in payment.

Usually, it takes several communications by eCollect before your debt moves to the highest level of priority for the debtor. eCollect follows up on the debtor with telephone calls and further written demands. Our associated legal firm, E C Legal can make demands as a part of the collection process with no additional cost to our client.

The eCollect software provides a collection report to our clients at the end of each month. This helps our clients to learn about our actions. We also offer 24/7 Support to help our clients.
